Admin Stock Controller Jobs in Bloemfontein

Datafin Β· πŸ“ Bloemfontein

Warehouse stock control

A permanent, executive-level opportunity in Bloemfontein is open for a meticulous Admin Stock Controller who can bring order, accuracy and calm control to a busy Asset Management operation. This is an onsite role for someone who enjoys being accountable for stock, offices and people, and who takes pride in records that reconcile, reports that can be trusted and storerooms that are secure.

About the company and the work

The role is advertised through Datafin, a South African recruitment company established in 1999 that focuses on the technology, digital, data, finance and human resources industries. The underlying employer is described as a dynamic provider of innovative software and systems, and the work sits within its Asset Management team. In practical terms, that means supporting internal and external customers, keeping stock moving accurately, and making sure the office and its stock areas run to agreed procedures every day.

This is not a desk-only job. It combines opening and closing an office, controlling access, supervising a Stock Controller, checking stock on site, and following up queries until they are closed. Candidates who like a mix of administration, supervision, systems work and hands-on checks will find the scope familiar and rewarding.

Role details and duties

Office accountability, security and administration: Take daily responsibility for opening and closing the Asset Management office, keep the office and designated stock areas secured and checked at the end of the day, maintain readiness for access, keys, facilities, documentation and communications, control who enters stock and office areas, and keep control records, checklists and registers signed off accurately and on time. You will also coordinate general office support, manage visitors and contractors appropriately, flag operational and security risks, and help with consumables, inspections, reporting and onsite vendor coordination.

Stock management and inventory control: Hold overall accountability for the accuracy, availability and control of Asset Management stock in the assigned region. That includes overseeing daily receipts, issues, transfers, returns and system updates, ensuring monthly and bakkie stock takes, reconciliations and site audits are completed to policy, investigating variances to root cause, keeping maintenance stock levels appropriate for customers, and managing faulty, repaired, written-off and obsolete stock correctly. Open stock requests must be monitored, communicated clearly and progressed to closure, with reports and system data checked before submission.

Supervision: Provide day-to-day direction to the Stock Controller, allocate and prioritise work against daily, weekly and monthly deadlines, review movements, reconciliations, reports and audit outputs for accuracy, coach and support the Stock Controller, act as the first escalation point, and ensure cover when the Stock Controller is absent.

Projects, customers and reporting: Support project stock and office coordination from issue through close-off, help internal and external customers with queries, handovers and documentation, coordinate with Field Services, supervisors, team leaders and project teams, and escalate anything that could affect availability, timelines, cost or delivery. Daily, weekly and monthly reporting must be accurate and on time, compliance with Asset Management policies must be monitored, and audit findings must be tracked to closure, with ideas for improving accuracy, controls and service welcomed.

Requirements

  • Relevant Diploma in Stock Control, Inventory Management, Logistics, Operations or Business Management.
  • Minimum 5 to 7 years of experience in Stock Control, Inventory Management or Asset Management, with demonstrated supervisory or coordination experience.
  • Experience overseeing staff and managing daily operational priorities.
  • Computer literacy in MS Word, MS PowerPoint, MS Outlook, MS Excel, Granite and Pastel.
  • Advanced inventory management and stock-control capability, plus supervisory and staff-management capability.
  • Strong office administration and operational coordination, with security, access and key-control awareness.
  • Effective communication with line managers, supervisors, storemen, stock controllers, internal and external clients.
  • Supplier and contractor management, reporting, presentation and data-analysis skills.
  • Problem solving, investigation and negotiation skills, and availability for standby as per roster.
  • Valid driver’s licence, valid South African ID, and no criminal record.
  • Experience with office administration, security or access controls and operational support is advantageous.
